This board is here only to advise the DSC and ADSC. It is not the intent of this board to run the SETXPGR.
Members of this board will be composed of Senior Ride Captains. Ultimately 1 will be a former DSC.
Persons appointed to this board shall serve a term of 2 years.
(The first board will have 2 year and 3 year terms).
Terms run with the calendar year beginning January 1 each year.
The lead for this board is to be elected annually.
The board will take recommendations for members from the DSC.
The Board will then vote on the recommended candidates and appoint accordingly.
The same process will apply for mid-term vacancies.
There will be 5 members and 1 alternate appointed to this board.
The board will handle most matters via e-mail and conference calls.
More serious matters (to be determined by the board) will be handled in a face-to-face meeting.
These types of matters require 72 hours advance notice to the board lead.
All 5 board members must vote.
If a member or members can’t attend a meeting in person then a phone vote will be taken.
If the board decides to take a vote to the leadership team this will also be done in person with a secret ballot system.
Votes will be counted in front of the group.
Individual details of how each member of this board votes will not be made available to anyone.
A majority vote will be considered a unanimous vote.
This board will report to the DSC. If actions requested involve the DSC then the board will also report to an ADSC.
This board will act on request of the DSC. However the ADSC can request consideration by the board if requested by any member. It is our hope matters can be resolved before going to the board level. Items being sent to the advisory board shall go thru the Advisory Board Lead.
Since this board advises the DSC and ADSC, we would like to see those individuals present at our meetings. However, they will not be allowed to vote nor observe the vote.
The board must approve all recommendations for DSC, ADSC, Treasurer, Web Master, Store Keeper, Lead Road Guard, Lead Support Vehicle , and Senior Ride Captains. The board will also approve any policy/procedure changes made by SETXPGR.
